Omniva Policy Manager

 

Rose Solutions selected Omniva Policy Manager as an outstanding solution for email confidentiality not simply working on the Microsoft platform, but strongly leveraging the platform, with future versions not only integrating with Microsoft Rights Management Server, but actually built upon it, extending its reach and useful to the enterprise.

 

Omniva Policy Manager offers completely transparent and comprehensive enforcement of corporate email policies, to ensure information is only accessible by appropriate and authorized people. Policy Manager provides an e-policy management solution that allows corporations to automatically control the distribution and retention of email and attachments without compromising end-user productivity.

 

Omniva Policy Manager enables corporations to control confidentiality and retention of email. Omniva Policy Manager provides reliable security while maintaining ease-of-use and manageability. End users inside and outside the enterprise can send and receive emails as they normally do, and there are no new systems, databases, or directories for an IT department to maintain.

 

Omniva fits into existing environments and email usage habits, and simultaneously provides strong and reliable retention and security capabilities. Omniva Policy Manager is an ideal solution that can be rapidly implemented and adopted in the enterprise.

 

Omniva Policy Manager consists of the following components:

  • Omniva Policy Server - the server application that manages the encryption keys and the policies that dictate how the keys are distributed and retained. The server runs on standard configuration Windows 2000 servers. The Policy Server is typically deployed simultaneously in two locations: internal mode (inside the firewall) and external mode (outside the firewall).
  • Omniva Policy Agents - these agents apply server-defined policies to messages as they are transmitted across the enterprise. Policy Agents include the following:
  • Omniva Policy Client - an optional small plug-in to Microsoft Outlook, which allows end-users to apply policy settings to email messages.
  • Omniva Policy Gateway for SMTP - an optional server that enables messages to be encrypted with policy settings if the message matches certain rules. This enables universal policy enforcement, even for users on non-Windows platforms.
  • Omniva Policy Gateway for Wireless - an optional server that enables secure messages to be composed and read on wireless devices such as RIM's BlackBerry.
  • Omniva Policy Administrator - the administrative toolset for Omniva Policy Manager, which runs within a simple-to-use Microsoft Management Console (MMC).

End-User

Sending Messages

End-users will use existing email applications on their desktops or wireless devices. Since the server can process business rules and apply policies to all email messages, there is no need to install any client software. Intelligent business rules automatically apply appropriate policies to messages as they go through the SMTP Gateway, Wireless Gateway, or the Exchange Bridgehead Server. For certain users that wish to apply security settings to individual messages, a light-weight plug-in to Outlook can be installed.

Receiving Messages

Omniva's proprietary Universal Viewing technology allows email recipients to view an encrypted message without going through any extra steps. Messages are decrypted automatically for authorized recipients.

 

Administration

Policies are defined centrally by the administrator and automatically updated on all servers and clients, if any are installed. Administrators can assign policies and business rules to specific groups of users. For example, emails from the legal group may always be encrypted, with copy/print blocking turned on.
